Service charter
This charter explains how we work, from the first call to final delivery and support. Its purpose is transparency: before committing to anything, the client knows what will be delivered, how, and in which stages.
1. Purpose and scope
- This charter applies to every SysaiQ service: custom websites, profession landing pages, web apps and SaaS, e-commerce, mobile apps and PWAs, AI agents and chatbots, business automation, accounting systems, trading software (software engineering only) and maintenance and support.
- Project-specific details live in the written proposal and the contract; this charter is the shared framework behind all of them.
2. Definitions
- We / SysaiQ: the professional trading name of Hamed Abooali (a natural person), based in Qazvin.
- Client: the natural or legal person ordering the services.
- Written proposal: the document that fixes the scope, deliverables, milestones, schedule and cost before any payment.
- Milestone: a part of the work with a defined deliverable that is accepted and settled separately.
- Acceptance: the client's written confirmation that a deliverable meets its acceptance criteria.
3. Starting a project
- The request is received through the contact form, by phone or by email.
- In a discovery session (in person in Qazvin or online) we review the business goal, the users, existing systems and constraints.
- We prepare a written proposal covering scope, deliverables, milestones, schedule, cost and payment terms.
- Once the proposal is approved, the contract is signed and the first-milestone deposit is received. Before signature and deposit, neither party owes the other anything.
Proposal validity: stated in the written proposal.
4. Scope and acceptance criteria
- Every deliverable is written with verifiable acceptance criteria (for example "contact form with validation, stored in the admin panel"), not a general description.
- Anything not listed in the scope is out of scope and is added to the contract through a change request.
- Revision rounds per milestone: stated in the written proposal.
5. Schedule and milestones
- The work is split into deliverable milestones; each one has a visible output (design sample, staging version, final version).
- The schedule is stated in the written proposal and depends on receiving the client's content, access and feedback on time.
- A delay by either party shifts the schedule by the same amount and is recorded in writing.
6. Communication and reporting

- Response hours: not specified.
- In multi-milestone projects, a short status report (done, in progress, waiting on the client) is sent at the end of each milestone.
7. Feedback, revisions and acceptance
- The client gives written feedback on each deliverable within stated in the written proposal.
- Revisions inside the scope and within the agreed rounds are made at no extra cost.
- If no feedback is received within stated in the written proposal, the deliverable is treated as accepted so the project does not stall.
8. Staged payment
- Payment is staged: a deposit of stated in the written proposal at signature and the rest per the milestones in the written proposal.
- An invoice is issued for each milestone; payment is made through an online pay link (Iranian gateway) or by bank transfer with a receipt.
- Card details are never stored by us; online payment happens on the gateway's own page.
- Every amount is stated in the written proposal before any payment; there are no hidden costs.
9. Third-party costs
- Domain, hosting and servers, SMS credit, payment-gateway fees, AI API usage and paid licences are not part of our service fee and are purchased in the client's name.
- The written proposal lists these items and who purchases each one.
10. Quality, security and accessibility
- Every page is tested on mobile and desktop.
- HTTPS, input validation, request rate limiting and safe handling of secret keys are the security baseline of every deliverable.
- Bilingual content (Persian and English), when requested, is written natively in each language, not machine-translated.
11. Bug-fix warranty and support
- After final delivery, defects caused by our work are fixed at no cost for stated in the written proposal.
- New changes, new content and problems caused by changes in third-party services are not covered by the warranty and are handled as support or a change request.
- Support tiers and response times: stated in the written proposal — stated in each project's written proposal.
12. Confidentiality and data protection
- The client's business information, user data and credentials are confidential and used only to deliver the project.
- Credentials are handed over to the client at the end of the project and our copy is deleted, unless support has been agreed.

13. Changes to this charter and relation to the contract
- This charter is versioned and each version's effective date appears at the top of the page. Changes do not apply to projects in progress unless agreed in writing.
- Where this text and the signed contract differ, the contract prevails. The full legal framework is in the contract framework and mutual obligations.
