Overview
A platform for distribution and van-sales operations. Sales reps take orders on a phone at the shop shelf, delivery routes are re-planned as the day changes, and van stock, customer credit limits and cheques are tracked in one place. Sales managers stop waiting for end-of-week reports, because the live dashboard shows what is happening in the market now.
PROBLEM
The problem
Distribution runs across many shops, many vans and many people, and most of it happens far from the office and often out of signal.
- Orders are written on paper or phoned in, then re-typed at the depot.
- Routes are planned in the morning and stay fixed while the day changes around them.
- Credit is extended on a rep's judgement, and a bounced cheque is the first warning.
- Van stock is reconciled by hand at night, and managers see sales a week late.
SOLUTION
The solution
SysaiQ built the field app and the head-office system on one shared model of customers, prices, stock and routes, so what a rep records at the shelf is what the depot and the dashboard see.
- The rep's order screen shows the catalog with live stock and customer-specific pricing, and keeps working without signal; queued orders sync safely when the connection returns.
- The remaining stops are re-sequenced across the fleet when a van breaks down, an order is cancelled or traffic shifts, without dispatcher phone calls.
- Before credit is extended, each customer's risk is scored from payment history, cheque behaviour and order patterns and shown on the rep's screen.
- A suggested basket per shop is prepared from its purchase cycle, including items likely to be running low.
- Van load-out, in-van stock, returns and end-of-day reconciliation are tracked per vehicle.
OUTCOME
The outcome
Head office sees the market as it moves instead of a week later. Orders arrive from the shelf without re-typing, routes adjust to the day rather than to the morning plan, and a risky customer is visible before credit is given rather than after a cheque bounces. Each van closes the day with its stock reconciled, and the manager's dashboard is current throughout.
What makes it different
Capabilities you won't usually find in similar products
Offline-first field operations
Reps keep taking orders, checking stock and issuing invoices with no connection; a conflict-safe sync reconciles everything once a signal returns.
Credit and cheque risk scoring
Each customer's risk is scored from payment history, cheque behaviour and order patterns, so a likely bounced cheque is flagged before credit is given.
Mid-route re-planning
Routes are not frozen in the morning; when a van breaks down, an order is cancelled or traffic shifts, the remaining stops are re-sequenced across the fleet.
Suggested baskets per shop
Each shop's purchase cycle is learned, and a suggested basket with quantities and likely low-running items is ready before the rep walks in.
Van stock reconciliation
Load-out, in-van stock, returns and the end-of-day count are tracked per vehicle, so each van closes its day balanced.

Technical approach
- Node.js / Express API shared by the field app and head office, with an idempotent sync endpoint that accepts queued offline orders without duplicates.
- SQLite schema for customers, price lists, stock per warehouse and per van, routes, stops, invoices and cheques.
- Vanilla JavaScript mobile web app for reps, installable on the phone and able to work offline, plus the head-office map and dashboard sharing one live feed.
- Route re-sequencing and credit-risk scoring run server-side from the company's own delivery, payment and order history.
- Suggested baskets are computed from each shop's own purchase cycle; the rep can accept, edit or ignore every suggestion.
