Overview

A single HR platform for employee records, shift planning, attendance, leave and payroll, built for organisations whose people work in shifts across several sites or companies. It replaces the patchwork of spreadsheets and attendance devices that turns month-end into manual reconciliation with one data model that runs from the clock-in to the payslip and the insurance and tax files.

In a shift-based organisation, attendance comes from one device, leave from paper forms, shifts from a spreadsheet and payroll from another spreadsheet that someone rebuilds every month. Each hand-off is a chance for an error that ends up on a payslip.

The solution

SysaiQ built one data model that runs from the clock-in to the payslip: employee, contract, shift, attendance event, leave and payroll run are linked records, and every calculation can be traced back to them.

  • Mobile clock-in is checked against each site's geofence together with a face check; it keeps working offline on the shop floor and syncs when coverage returns.
  • The whole month can be simulated before any payment is committed, showing how an overtime rule, a raise or a new insurance rate changes each payslip line by line.
  • Insurance lists and payroll-tax files are generated in the official formats from the approved run, not re-entered.
  • Org chart, cost centres and payroll roll up across legal entities, so a holding can close payroll for the whole group from one dashboard.

Technical approach

  • Node.js / Express API with linked employee, contract, shift, attendance and payroll records, role-based access (HR, line manager, employee self-service) and an audit trail on every payroll change.
  • SQLite schema in which pay rules, insurance rates and tax brackets are rows with an effective date, so a past month recalculates exactly as it was paid.
  • Payroll simulation writes to a separate draft run; only an approved run produces payslips and the insurance and tax export files.
  • Vanilla JavaScript front end with an installable mobile clock-in (PWA) that queues punches offline; geofence checks are verified server-side against each site's boundary.
  • Entity-level consolidation and cost-centre allocation are computed in SQL for the group dashboard.
