Overview

A management system for schools and training institutes that connects scheduling, enrollment, attendance, grading and tuition on one platform. It replaces the patchwork of spreadsheets, paper registers and group chats most institutes run on, so staff spend less time on administration and nothing falls through the cracks. A portal keeps parents and students up to date with grades, schedules and payments.

The problem

Most institutes run on a mix of spreadsheets, paper registers and messaging groups, each held by a different person.

  • Timetables clash, and the clash is found when two classes arrive at one room.
  • Installment plans and cheques are tracked by hand, and overdue payments are chased late.
  • Parents say they never received a message, and there is no record either way.
  • A student who is drifting away is noticed only after they have stopped coming.

SOLUTION

The solution

SysaiQ built the system around one record per student and one timetable that knows every constraint. Grades, attendance, payments and parent messages all attach to the student, and every schedule change is checked before it is saved.

  • The timetable builder knows each teacher's hours, each room's capacity and each student's other classes; a double booking is refused and the nearest free slot is suggested.
  • Each family can have its own payment plan with split amounts, custom due dates, sibling discounts and cheque tracking; reminders go out automatically and the overdue list stays current.
  • An at-risk list combines falling attendance, sliding grades and overdue tuition and ranks the students who need a follow-up call, with the reasons shown.
  • Messages to parents live on the student record with read receipts, and the parent and student portal shows grades, schedules and online tuition payment on any phone.

The outcome

The institute runs from one connected record instead of a pile of registers and chats. Timetable clashes are stopped when they are created, tuition follow-up happens on schedule without anyone keeping a separate list, and every message to a parent has a trace. Students who are slipping are noticed while there is still time to help, and parents see the same information the office sees.

Technical approach

  • Node.js / Express API with role-based access for administrators, teachers, parents and students; each role sees only its own classes or children.
  • SQLite schema for terms, classes, rooms, teachers, enrollments, attendance, grades, payment plans and messages; timetable conflicts are checked by query before a change is saved.
  • Vanilla JavaScript for the admin dashboard and a mobile-friendly parent and student portal.
  • The at-risk ranking is computed server-side from attendance, grades and payment status, and every flag lists the reasons behind it.
  • Tuition is paid online through the configured payment gateway, and reminders go out through the configured SMS provider.
