Overview

A management system for hotels and guesthouses that brings reservations from every source, the front desk, housekeeping and revenue analytics into one platform. It replaces the paper ledger, the spreadsheet and the morning guesswork: the live state of every room and every guest is in front of the team at all times, and a room can never be sold twice.

Small and mid-sized hotels often keep reservations in a ledger or spreadsheet, while bookings from online channels arrive separately and are copied in by hand.

The solution

SysaiQ built the system around a single room-night inventory. Every reservation, whether booked at the desk, on the hotel's own site or entered from a channel, is written against it, and every other screen reads from it.

  • A booking is checked and written in one step, so a conflicting reservation is blocked the moment it is attempted, not discovered at check-in.
  • The housekeeping board reorders itself around today's arrivals: rooms with the earliest check-ins move up the cleaning queue, and the front desk watches readiness change live.
  • A rate coach reads occupancy pace, booking lead times and weekday patterns and suggests a nightly rate with its reasoning shown; staff apply it with one tap or ignore it.
  • Returning guests are recognised at booking time, and their preferences, past stays and notes appear automatically at check-in.

The outcome

The hotel works from one live picture of rooms and guests. Conflicting bookings are stopped before they exist, rooms are ready in the order guests arrive, and rate decisions are made with the reasoning in view while staff keep the final say. Returning guests are greeted as returning guests, and the team spends less time reconciling and more time hosting.

Technical approach

  • Node.js / Express API in which the availability check and the booking write happen in one database transaction, so two requests can never take the same room-night.
  • SQLite schema for rooms, room types, room-nights, reservations, guests and housekeeping status, with reports on occupancy, average rate and revenue as SQL queries.
  • Vanilla JavaScript availability grid, reservations desk and housekeeping board sharing one live data feed.
  • The rate suggestion is computed server-side from the hotel's own occupancy and booking-pace history, shown with its reasoning, and never applied without a person's tap.
  • Guest matching links a new booking to past stays through contact details, so preferences carry over without duplicate profiles.
